It is fantastic in terms of productivity that you can see the last document you were working on one device in the recent document on the other device. Apple distinguishes between what you can do on your devices (which means, devices that has the same user – Apple ID) and other devices (authorised with some other Apple ID). Sometimes, for some functionality, user in your address book can potentially do more.

The main technology that can be utilised with your Mac devices are:

AirDrop

AirPlay

Universal Clipboard (for text and photos)

Share mouse, keyboard with your iPad

App Handoff

Why there are so many? Basically, they are used for different purposes. Since your data are replicated using different media (including iCloud) you may want to limit your data visibility in case of privacy concern.

Let’s start from the top so it will be less confusing for the new Apple user:

AirDrop is a easy files or other entities like passwords and contacts —I know I know it is still files, but ..— between the devices. You can of course share them between your device without any issue (in 99% of cases) but the main function is to share them between your friends or family (in a sense of iCloud Family Sharing). In most application, especially the one from apple you can find square icon with the arrow pointing upwards. That’s our friend, using that icon you can open menu and select AirDrop – blue – white icon with unfinished circles. You can select person to who you would like to send the file and that’s it. This is fast and (usually) smooth experience.

Troubleshooting:If you or your partner is not visible, check settings -> search for AirDrop and check the setting. You can enable AirDrop for “Contact Only” or to “Everyone for 10 Minutes” (at lest this is how it looks in the current os version). In MacBook you can also enable icon near the clock (upper right corner) to get it easily managed.

AirPlay – that is amazing service where you can redirect your media output (like music or audiobook) to your other device. So for example, you are listening audiobook and it is easy for you to operate this audiobook on your phone but you want to use MacBook speakers (because they basically sounds much much better) it is not an issue. Search for the following icon in your application or just expand the menu from right upper corner on your iPhone/iPad, select destination device and run.

Troubleshooting:

You can share between devices that not belongs to you

Bluetooth enabled devices needs to be in the same network

Check your configuration:

Universal Clipboard is another really powerful function which I personally found the most useful. Idea is very simple: you can select and copy text, image and just copy in one of the device, then past on other device will “magically” paste the content. This is so fantastic, especially if you are working on your laptop, taking notes on iPhone/iPad and you need to quickly share between your devices. Or you need to go somewhere just with your iPhone, during your way you did some research, found an article – then just copy on iPhone, past on your MacBook. Nice and easy.

Not exactly the same but keep in mind that you can also paste pictures/document directly from your iPhone/iPad using the content menu (for example in pages app):

And just as reminder, you can scan text in Apple notes which looks in very professional way. This function simply means, that you can start your work (in some application) on one device and continue your work on some other device. Great example I an email client. You can start to write an email on your laptop and if you open your iPad, you can see email icon with the small computer on the top. When pressed you will see your email, all you have done so far. You can continue to work. Nice – right?

Summary:

I know, there is more, but I was trying to keep it simple for Apple new users. If you combine this technology, I can guarantee you that your electronic device experience will be much better and your productivity will increase. I know that most of the apple functionality I just described can be simply replaced by using email, picture sharing, cloud drives (what else ?) but when you use to them that replacement will be for you like using hand hammer to dismantle the building.
I am sure (and I am really really hope) that Samsung, Google, and others are working on very similar improvements on their devices. Besides, it is comfortable, and that’s the way to tie users to the device producer.

If you have more then one Apple device you probably have already noticed how easy is to share your files, contact or password between the devices.
